Job Summary

The main purpose of this position is to provide support to all aspects of Human Resources (HR) of Alla-Aaamin Pharmaceutical Company. Reporting to the General Manager, the HR Manager will be responsible for the provision of efficient, quality and timely HR management activities.

The position holder will provide practical, consistent, and proactive support, direction and advice to branch managers and all staff on HR procedures, policies, best practices, leave and attendance management, performance management and staff motivation.

Key Responsibilities:

  1. Records Management
  • Organize and maintain all relevant personnel records and files and ensure that they are properly kept in a secured manner and are easily accessible.
  • Ensure all documentation is done for various HR functions, filing and retrieval of such documents.
  • Collect new hire documentation
  • Create files for new hires, collect new hire documentations and make follow ups with staff on any missing document from the staff files.
  • File documents to the respective files in timely manner.
  1. Recruitment and Placement:
  • Prepare vacancy announcements in line with the positions job descriptions and distribute the advert to the other online channels and local media journals
  • Review applications and provide long -lists to the general manager.
  • Arrange and represent HR in conducting interviews to select candidates
  • Review recommendation on the selection of candidate by the hiring manager.
  • Obtain references and carry out required pre-employment checks to ensure that information given about candidates is verified and attach them to the contract as necessary.
  • Draw interview reports, obtain necessary approvals and file.
  • Send regret letters to interview candidates who were not successful in the selection process.
  • Invite the Ministry of Employment and Social Affairs to attend the interviews.
  1. Staff Development
  • Assess staff training needs, develop annual training and development plans and conduct staff training activities.
  • Advise the General Manager and Branch Manager on staff training needs and support the implementation of training and staff development through appropriate means/ methods.
  • In collaboration with the General Manager, Supervises and/or Branch Managers the implementation of performance management system for all company’s employees
  • Recognize and work with management to encourage the development of particular talent
  1. Leave & Attendance Management
  • Monitor the leave management of all the company’s employees
  • Ensure each branch has leave plans
  • Strictly ensure that all the employees are in compliance with the attendance policy of the company
  • Prepare attendance report on monthly basis and forward it to the General Manager
  1. HR Policies and other
  • Implement HR policies, practices, and procedures, and ensure compliance with legal laws and/or regulations in all areas of accountability
  • Contribute to the updated and formulation of human resource management policies for Alla Aamin Pharmaceutical Company
  • Counsel employees on their terms and conditions of service, problems and grievances.
  • Take lead in arbitrating on disciplinary issues and performance management issues with consultation to the General Manager
  1. Contract Management
  • Maintain the monthly probation tracking tool and track all staff on probation to identify their end of probation date.
  • Monitor existing Fixed Term and temporary contracts and prepare Contract renewals/extensions.
  • Receive employee’s letters of notice of resignation and process separation letter taking note of the notice period given.
  • Ensure that departing staff have handed in their final Clearance forms including a filled Exit interview form
  • Ensure personnel records are complete, up to date, filed and kept confidential.
  • Draw the attention of management and retention issues

 

Skills and Qualifications

  1. Education
  • Degree in Human Resources Management/ Organizational Behavior or equivalent with diploma in HRM. Master’s degree in HR is preferred and/or pharmaceutical knowledge.
  1. Experience
  • 3 years’ demonstrable experience as hands on HR generalist particularly pharmaceutical companies
  • Understands the pharmaceutical industry and business.
  • Communication – Communicate and data both verbally and written in a persuasive and appropriate manner
  • Analytical Skills – ability to identify the root cause of problems/opportunities and determine possible solutions
